Video remote interpreting can connect you with a qualified interpreter in minutes, but the quality of the session depends heavily on the environment on your end. A few simple preparations prevent most problems.

Check Your Connection
A stable, high-speed internet connection matters more for VRI than for an ordinary video call. Freezing or lag can cut off signs or words, which affects accuracy. Use a wired connection when possible, and test your network before important appointments.
Get the Lighting Right
Sign language is visual, so lighting is critical. Place the light source in front of the participants, not behind them. Avoid sitting in front of a bright window, which turns people into silhouettes on camera.
Position the Camera and Screen
- Place the screen at eye level so the Deaf participant can see the interpreter comfortably
- Make sure the interpreter’s camera view shows the participant’s upper body and hands
- Keep the device stable on a cart, stand, or mount rather than holding it
- Position the screen so everyone in the conversation can see it
Reduce Background Noise
Interpreters also need to hear clearly. Close doors, silence phones, and avoid side conversations. A good speaker and microphone help too, so check audio before the session starts.
Minimize Visual Distractions
A plain background and uncluttered view help participants focus on the interpreter. Avoid busy patterns or movement behind the screen.
Introduce the Session
Briefly tell the interpreter who is present and the purpose of the session. Speak at a natural pace, take turns, and talk directly to the Deaf participant. Our tips for working with an interpreter cover the basics.
Know When VRI Isn’t the Best Fit
If the setup can’t be made to work, or the situation is complex or sensitive, an on-site interpreter may be better. Our post on VRI vs. on-site interpreting can help you decide, and our guide to VRS vs. VRI clarifies the terminology.
Make It Routine
Keep a dedicated, tested VRI station in a quiet area of your office, clinic, or store so staff aren’t scrambling when the need arises.
