The holiday season is full of company parties, school programs, community celebrations, and family gatherings. These events work best when everyone can take part, including Deaf employees and Spanish-speaking guests. A little planning goes a long way.

Ask About Needs in the Invitation
Include a simple line on invitations and RSVPs inviting guests to request interpreting or other accommodations, with a clear contact and a reasonable deadline. This avoids last-minute scrambles and signals that inclusion is a priority.
Book Interpreters Early
December is one of the busiest times of year for interpreters. Book as soon as your date is set, especially in busy markets like Los Angeles, San Diego, Las Vegas, and New York. Our post on how to request an ASL interpreter walks through the steps.
Plan for Key Moments
Parties are social, but certain moments need interpreting most:
- Welcome remarks and toasts
- Awards, recognitions, and announcements
- Performances, speeches, or presentations
- Games, raffles, and group activities
For events running more than an hour or two, plan on a team of interpreters. Our post on ASL interpreting for conferences and large events explains why.
Think About Layout
Reserve seating near the interpreter and the speaker, keep sightlines clear, and use good lighting. Avoid dimming the room completely during speeches, since signing needs to be visible.
Include Informal Moments
Mingling is where inclusion often breaks down. Consider arranging an interpreter for part of the social time, or pairing Deaf guests with colleagues who are comfortable communicating by writing or typing. Our post on Deaf awareness in the workplace offers more ideas.
Don’t Forget Spanish-Speaking Guests
Bilingual announcements, interpreted speeches, and translated printed materials help Spanish-speaking employees and families feel welcome. Our post on Spanish interpreting in hospitality shares similar ideas.
Make Everyone Feel Welcome
Inclusive events boost morale and show employees and community members that they truly belong.
